Coordinator
The Greater Cincinnati Stephen Ministry Network Coordinator is responsible for
interactive leadership between member Stephen Ministry programs in the Greater
Cincinnati area. The Coordinator is a Network member Stephen Leader who
serves a two-year term, first as the Assistant Coordinator and then as the Coordinator.
The primary duties of the GCSMN Coordinator are as follows:
- With input from the Assistant Coordinator, prepares and sends agendas to
- all members before each Network meeting.
- Leads Network meetings.
- Ensures that minutes are taken for each meeting.
- Sends completed minutes of the previous meeting to members before an
up-coming meeting. - Leads Network Advisory Committee meetings when they are required.
- Sends meeting reminders, documents, and other important
announcements to members via email. - Meets monthly (in person, Zoom or by phone) with the Assistant
Coordinator to review and plan the business of the Network. - Considers and develops improvements to the purpose and functioning of
the Network. - Reviews requests from church membership Stephen Leaders for topics for
discussion at GCSM Network meetings and/or the Network Advisory
Committee. Decides, with input from the Assistant Coordinator, on the
merits and timing of addressing the requests at the appropriate meetings. - Maintains electronic documentation of Network meeting (calendar,
attendance, Spotlight presentation schedules, changes in Committee
leadership, etc. ) on a flash drive for continuity of Leadership succession. - Maintains the “football” portable paper files documentation (table name
tents, etc. (Gary, I am not sure what all is contained in the “Football” so
please augment this role description.)
Assistant Coordinator
The Greater Cincinnati Stephen Ministry Network Coordinator is responsible for interactive leadership between member Stephen Ministry programs in the Greater Cincinnati area. The Assistant Coordinator is a Network member Stephen Leader who serves a two-year term, first as the Assistant Coordinator and then as the Coordinator.
The primary duties of the GCSMN Assistant Coordinator are as follows:
- Meets monthly (in person, Zoom or by phone) with the Network Coordinator to review and plan the business of the Network.
- Assistant the Coordinator in preparation of agendas for each Network meeting.
- Provides support of the Coordinator during Network meetings (assists in time management during meetings, etc.)
- Performs the role of Coordinator at Network meetings when the Coordinator is not available to serve that role.
- Reviews draft minutes that are taken for each meeting, providing comments and adjustments.
- Functions as the Network’s Referral Coordinator. Receives requests from membership churches to identify an available and appropriate Stephen Minister within the Network, when the member church does not have an available or appropriate Stephen Minister for their Care Receiver. Reviews initial Referral Form from the Requesting Church, reaches out via email and/or phone to Referral Coordinators within the Network to identify a Stephen Minister for the request. Initiates and facilitates the handoff of responsibilities of the Referral Coordinator from the Requesting Church to the Receiving Church Referral Coordinator. Maintains an electronic list of Referral Coordinators within the Network.
- Coordinates with the Network Website Master to assure the GCSM Network website content is current, appropriate, and functional to be of use to member churches.
- Assist in other ways as needed to help manage and improve the functionality and usefulness of the Network.
Secretary
Technology Administrator
The GCSMN Technology Administrator is responsible for maintaining the network’s web site, web hosting, and other services that assist in facilitating the work of the Greater Cincinnati Stephen Ministry Network and its member churches.
The primary duties of the Technology Administrator are as follows:
- Maintain the GCSMN.org website from a content perspective, posting our meeting notes and other artifacts from our city-wide discussions on a timely basis
- Update the roster, member churches, and other important data to ensure collaboration and contact information across the network
- Assist the Coordinator and Assistant Coordinator with any content updates, including the network calendar, articles, posts, pages, special announcements, and other items they want to share with the team
- Update the log with any and all changes to the content, structure, or other components of the web site
- Maintain the security, perform periodic audits, and ensure best practices that protect the online safety and welfare of the GCSMN user community
- Troubleshoot issues as they arise for member churches and their leadership as it pertains to the use of the web site or meeting collaboration tools such as Zoom
- Maintain a backup of our data, separate from that of WordPress, not to exceed 6 months in age
- Where required, update the versions of any add-ons incorporated into WordPress, which is the online service we utilize for web hosting
- Pay the annual fees required (approximately $300 per year as of this writing) for WordPress professional hosting, and recover the money from the network churches as necessary
- Assist with the setup, facilitation, and operation of Zoom meetings, the slides to drive Zoom meetings, and integration of host church equipment for the purposes of these collaboration technologies
